OrgFlow

Field reports and patrol rounds on staff phones

Stop scattering site photos across chat — staff send daily reports, site-visit reports and incident reports with photos from the employee app, and supervisors review and export them in one place. If you need patrol rounds or cross-department tasks, turn on the patrol and work ticket modules as you need them.

Before OrgFlow

Common problems

Photos and reports lost in chat

Site photos and report messages get mixed into other chats and cannot be found when you need them as evidence.

Not sure patrols were really done

Checkpoint sign-off sheets can be filled in after the fact, so you never know whether staff actually reached each point.

Cross-department work is hard to track

Repair requests or asks to other departments go through chat, with no way to know who picked them up or whether they are done.

How it works

How field Reports & Patrol Rounds works

  1. Set report topics and templates

Define topics for daily / periodic reports and reusable report templates.

  2. Staff report from mobile

Take photos and fill in reports in the employee app — daily, site-visit and incident reports.

  3. Patrol rounds by checkpoint

Scan the QR at each point with the phone camera, with a GPS check; every scan is kept in the history.

  4. Supervisors review and export

View reports and patrol summaries, and export PDF, Excel, JPG or ZIP to share or keep as evidence.

Key capabilities

What it does

  • Field reports with photos

Site-visit reports, daily / periodic reports with topics you configure, and incident reports, sent from the employee app.

  • Export PDF / Excel / JPG / ZIP

Export reports as files for clients or management, with reusable report templates.

  • Site-visit plans

Plan site visits for supervisors, then record visit reports from the actual site.

  • Patrol rounds

Set checkpoints and routes; verify each point by GPS, GPS + QR, GPS + typed NFC ID, or GPS + either, with scan history and summaries.

  • Latest position on a map

See the latest position of field staff on a map while they have the app open (no route history is kept).

  • Cross-department work tickets

Open tickets to other departments, discuss in a thread with attachments, claim / complete, with templates and analytics — also in the employee app.

FAQ

Questions about field Reports & Patrol Rounds

Do we have to turn on every part?

No. Turn on only what your company needs — for example, start with field reports and add patrol rounds or work tickets later.

How do patrols verify staff reached each point?

Each checkpoint can be verified by GPS only, GPS + QR scan, GPS + a typed NFC ID, or GPS + either. QR codes are scanned with the phone camera and can be regenerated whenever needed.

Do we need to buy extra devices?

No reader devices needed. Staff use their own phones to take photos and scan QR codes posted at each checkpoint.

Can we see where field staff are?

Yes — their latest position on a map while they have the app open. No route history is kept; patrols are checked through the scan history at each point.

How do we send reports to clients or management?

Export reports as PDF, Excel, JPG or a ZIP bundle, then share them through the channel you use.
